Job Summary

The Office & Facilities Manager is responsible for maintaining and overseeing Atomic Data & Foundation Technologies' facilities, including grounds, offices, property, and equipment, to ensure a safe, functional, and welcoming environment. This role serves as a representative and liaison, addressing the needs of the office, fulfilling them directly or communicating them to leadership, and managing projects until solutions are delivered. The Office & Facilities Manager has two part-time direct reports in Facilities (Janitorial Services).
The ideal candidate is friendly, organized, flexible, detail-oriented, and efficient, with strong multitasking abilities. While the primary worksite is on-site, there is occasional flexibility to perform duties remotely as needed.

Essential Functions

Office Management

    • Oversee and coordinate office administrative procedures to ensure smooth daily operations.
    • Maintain office supply and kitchen inventory, including procurement and restocking as needed.
    • Manage incoming and outgoing mail, packages, and shipments.
    • Oversee the maintenance, repair, and functionality of office equipment.
    • Coordinate office space planning, utilization, and seating arrangements.
    • Provide frequent front desk coverage to assist employees, manage requests, and facilitate shipments.
    • Assist with travel accommodation for employees visiting headquarters.
    • Serve as backup support for the Senior Executive Assistant when needed.

Facilities Management

    • Ensure the functionality and upkeep of company property and facilities.
    • Manage building maintenance and repairs, including HVAC, plumbing, and electrical systems.
    • Coordinate with vendors and contractors for maintenance and improvement projects.
    • Oversee and manage the Janitorial Services team to maintain a clean and safe work environment.
    • Monitor and manage security systems to protect the office and company assets.
    • Track facility-related expenses and manage budgets effectively.
    • Support office moves, including rearranging furniture and office equipment.

Qualifications

    • Strong organizational and time management skills.
    • Excellent written, verbal, and interpersonal communication abilities.
    • Proficiency in Microsoft Office Suite.
    • Familiarity with building maintenance, repairs, and related systems.
    • Ability to multitask, prioritize, and manage competing demands effectively.
    • Detail-oriented, results-driven, and highly organized.
    • Capable of working independently and collaboratively within a team.
    • Flexibility, adaptability, and strong problem-solving skills.
    • Able to perform desk-based work for extended periods.
    • Physically able to lift and move up to 30 lbs.
